About the Role
We are supporting an international organization in the recruitment of a Fund Portfolio Coordinator to strengthen its Grant & Portfolio Management activities.
In this role, you will provide operational, coordination, and communication support to regional and country teams, ensuring the smooth delivery of portfolio activities across the full grant lifecycle.
You will act as a key interface between internal teams and external stakeholders, contributing to efficient operations, data management, and successful execution of projects.
Key Responsibilities
Stakeholder Coordination & Communication
Support the organization and coordination of meetings, workshops, and stakeholder engagements (virtual and onsite)
Assist in the preparation of communication, training, and briefing materials
Facilitate collaboration between internal teams and external partners
Data & Information Management
Maintain and update portfolio-related data in internal systems
Support data validation, reporting, and documentation processes
Identify process inefficiencies and contribute to improvements
Manage digital collaboration platforms (e.g., SharePoint, Teams)
Operational & Team Support
Assist with operational planning, progress tracking, and reporting
Coordinate travel arrangements and logistics for teams and stakeholders
Monitor budgets and support financial tracking activities
Contribute to onboarding of new team members and internal coordination
Grant Lifecycle Support
Provide administrative and coordination support across key project phases
Ensure compliance with internal processes and documentation standards
Support monitoring of deliverables, timelines, and milestones
Profile
Education
Degree in Business Administration, Finance, International Relations, Public Administration, or similar
(or equivalent professional experience)
Experience
Experience in portfolio coordination, project support, or operations
Exposure to data management and reporting tools
Experience in fast-paced, international environments
Strong ability to manage multiple priorities and deadlines
Skills
Strong organizational and coordination skills
Excellent communication and stakeholder management abilities
Analytical mindset with attention to detail
Proficiency in MS Office and collaboration tools
Languages
Fluent English required
Additional languages are a plus
